Attachment management software for Outlook/SharePoint

by chawk65 - 7/31/08 11:12 AM

Can anyone point me to a package that does rather more than the basic email attachment management functions?

I am looking for something that detaches attachments from incoming emails, adds meta-data based on user rules, and saves the attachments to SharePoint. It must be able to handle multiple attachments (with rules based on both the email and the attachment) in the same email.

Thanks for any suggestions.

Seems like a nice job for a programmer.

Both Exchange Server and Sharepoint Server should be fully accessible in any .Net language. Everything is an object, nowadays.
Add SQL Server to store the rules and a GUI to manage everything (including autorization via Active Directory), and you've got a nice package.

Organisations with Exchange and Sharepoint might have a competent IT dept or the money to hire them. Calculating the business case shouldn't be too difficult, and if there's no business case to be found there's a good reason to skip the project.

There are a few products available to help with this...

Scinaptic have a product called OnePlaceMail which allows you to move or copy emails and or attachment from Outlook to Sharepoint - you could use this in conjunction with an outlook rule...

not sure if this helps or if it meets your specific requirements ...

There's a tool called SharedLook by Paradisoft which offers a rules wizard to automatically save emails and attachments from Outlook to SharePoint, including metadata.

Do you know what happen to SharedLook? My installation is telling me that my version is expired, yet the link provided does not work. I can't find SharedLook anywhere on the Web now.

Victum of the economy.

Sort of like the dot com days this product is so narrow in focus that unless they get a subscription at lots of bucks they won't survive long.

Start shopping for a new tool.

Microsoft Outlook to SharePoint

by scinaptic - 12/16/08 11:04 PM In reply to: SharedLook is gone by mickyates

Hi,

you are welcome to download a free trial of OnePlaceMail at http://www.OnePlaceMail.com - This is the full system with no restriction other than the time expired key.

Microsoft Outlook to SharePoint:
- Seamless integration from Outlook to SharePoint
- Drag & drop Outlook emails/attachments directly to SharePoint
- Capture email metadata automatically
- Dynamic prompt/completion of destination library metadata (columns) at the point of upload
- Right-click Send To (from Windows Explorer) directly to SharePoint
- Drag & drop pictures directly to Picture Libraries
- Access SharePoint content directly from within Outlook

Alternatively, there are a few out of the box options - each of these have limitations and usability questions... however, they may meet your business requirements:
1. Drag & Drop in explorer view
2. Email enable a library/list
3. Drag/Drop to a discussion Forum
4. Manually save and upload the .msg file

All the best,
James

We have a great tool called myDocs which is an add-in for Outlook, that lets us view SharePoint Document Libraries by clicking standard Outlook folders, and drag emails into these folders to upload into SharePoint. You can visit http://www.nsynergy.com/Products/myDocs/Pages/About_myDocs.aspx or mail to Mark.Davis@nsynergy.com for more information.

Thanks. All of these products are about handling EMAILS and directing them into Sharepoint. What I am hoping to find is targeting ATTACHMENTS to emails. Our business gets large numbers of documents via email on a routine basis. We detach those and store them in SP manually. It's a small distinction, but storing emails is not what we want. We want to detach the files, add the necessary metadata based either on automated rules or manual input or both, and save the files into SP in the appropriate destination.

Yes, OnePlaceMail allows the drag and drop of Attachments

by scinaptic - 12/17/08 12:02 PM In reply to: Thanks by chawk65

In the same manner as you drag and drop one or more emails... you can drag and drop 1 or more attachments from an email into a SharePoint Library or List. You have the ability to retain the attachments names or rename the attachments and complete any metadata directly from within outlook.
